Job Description

We are looking to hire an Administrative Assistant for Corporate Banking Japan on a Fixed Term Contract. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. In this role, you will need to work well in a team environment.

As an Administrative Assistant in Corporate Banking Japan, you have attention to detail, structure, quality focus, high energy and flexibility to a high-paced deadline driven organization.

Job responsibilities

  • Handle calendar management and associated tasks such as booking conference rooms, audio visual equipment, documentation, meeting scheduling etc.
  • Arrange meetings for visitor(s), management meetings and coordinate logistics for business trips and team travel arrangements, when appropriate
  • Assist and/or leading the organization of events (both internal and external)
  • Manage filing, invoicing and processing of expense claims and related record-keeping, maintain department’s records and handle phone enquiries
  • Support personnel on-boarding and off-boarding coordination, including logistics for new staff
  • Assist in ad hoc project administration support when required

Required qualifications, capabilities, and skills

  • Excellent interpersonal and communication skills with experience working with a variety of cultures
  • Strong organizational skills, meticulous with details and able to work under high pressure and tight deadlines
  • Able to work with a high degree of autonomy as well as part of a team
  • Experience in managing relationships across all levels
  • Strong proficiency in both written and spoken Japanese and English
  • Strong Microsoft Office skills

Preferred qualifications, capabilities, and skills

  • Experience in finance firms would be an advantage
