About the Opportunity
Position Summary:
The Senior HR Associate reports to the current Manager of HR Administration within the Office of the Provost. The position would work closely with the Manager of HR Admin. to provide a shared centralized support for all aspects of employment administration for Provost-area divisions including (but not limited to) the Provost Office, Provost Research, University Programs, Gordon Institute, and VP Burlington Campus, and many University Institutes and Centers that fall under the Provost Office’s supervision.
Responsibilities include position creation and modifications of job scope descriptions and all talent management procedures, processing and posting of open and incumbent replacement jobs, , temporary non-student hires, onboarding task completions (I-9, background check submission and review), and one-time payment requests within the employment portal Workday, work visa processing, merit planning, and the handling of guided system training requests from University managers and onboarding meetings with incoming new hires to the University.
The role would also assist with coordinating, preparing, and tracking of digital human resources transaction data for staff within the Provost areas and would provide regular and adhoc reporting to the Provost Office budget and administration staff on the status of all open positions and position changes.
The position will be the point of contact for hiring managers to assist with any recruitment or HR related needs. The position would also collaborate with various Provost Office team members on special HR projects and new HR initiatives as assigned and the position would stay abreast of the latest University Human Resources policies and procedures, cross-training as back up for the Manager of HR Admin.
The position works closely with key personnel in central HR, with HR Talent Acquisition to create recruiting plans for open positions, and also with HR Business Partners regarding employee relations matters including but not limited to promotions, terminations, and performance improvement plans. This position requires a high level of applicant and customer service, problem solving, data management, confidentiality, organizational and critical thinking.
Qualifications:
- A Bachelor's degree plus 3+ years of academic administrative experience is required.
- Experience working in a human resources capacity within higher education is preferred.
- This candidate must be able to work independently while using good judgment to maintain discretion in handling confidential information, and have experience building successful professional relationships across a broad spectrum of employees.
- The candidate would also possess excellent communication skills, the ability to manage/prioritize multiple projects at once, show discretion on human resources matters, and comfort with learning and utilizing human resource management software.
- The ability to operate independently with periodic guidance is essential and experience with Workday is a plus.
Key Responsibilities:
HR Transactional Support / Talent Management:
Act as Provost area HR Consultant. Manage all aspects of the hiring process from job creation/modification and position posting through completion. Work with hiring managers to create and/or modify job scope descriptions. Act as liaison between hiring manager(s) and Human Resources to facilitate all hiring procedures. Reach out to new hires as needed to obtain necessary forms to complete the hiring package. Work with HR Operations to ensure all paperwork is complete and necessary copies are filed internally. With OGS, provide visa processing support. Process all Workday tasks for ongoing position and/or salary modifications, payroll distribution changes, extra compensation, and department/employee reorganizations. Review annual merit recommendations. Serves as the main communications lead between the Provost Office and its divisions.
Work closely with hiring managers to generate Workday job postings, offer system and process training for hiring managers and/or facilitators, and proactively monitor posted positions. Creates recruiting plans alongside managers and Talent Acquisition Partners and contribute to the selection of position finalists.
HR Employee Relations / On and Off Boarding:
Support HR Business Partners with employee relations matters. Work with HR Business Partners on promotions and terminations, provide information as needed, and coordinate between HRM and managers. Advise managers on university procedures and policies.
Develop and administer consistent on and off boarding processes for the Provost area divisions. Work closely with hiring managers to ensure that all new employees receive training on Workday, MyNortheastern portal (Benefit Navigator, HR Service Center, Workday Training Portals), and completing I9s. Process Part II of incoming employees I9s. Act as point of contact to direct new employees to appropriate place for all questions relating to HRM. Work with managers to off board all employees. Ensure that appropriate forms are submitted to HRM via Workday.
Special Projects:
Represent the Provost Office as the Key Contact at regularly scheduled HR meetings and special university-wide HR projects as they arise. Serves as the main contact for HR system support and training. Assist SVP Academic Affairs with faculty tenure, promotion process, and other projects as needed.
