Northwestern Mutual – Central Illinois is seeking an Administrative Assistant as an important and essential part of our local operations team! This role is the owner of the reception desk and serves as the primary contact for clients and policy owners and assists with operations and marketing work as needed. It is the first line of contact and vital to the energy and professionalism of the office. In this role you are a champion of the company and the clients. The hours are from 8am to 5pm in-person in our downtown Champaign office.

Responsibilities include but will not be limited to:

· Greet colleagues and visitors and make them feel welcome

· Answer, screen, and respond to calls to the office and voicemail

· Maintain telephone system and agency directory

· Maintain and perform data entry of spreadsheets and records

· Train new personnel how to use the phone system

· Process incoming and outgoing mail; deliver mail to post office, FedEx, and other shipping companies

· Keep reception and common office areas safe, clean, and organized

· Perform office duties such as copying, scanning, and distribution of documents

· Maintain inventory and order office supplies as needed

· Answer basic policy owner/policy benefit questions

· Function as administrative support for financial representatives/staff as needed

· Complete and/or assist with projects as assigned by the Office Manager/Director of Operations

· Cross-train in other support roles

The Administrative Assistant position must have the following qualifications:

· Basic computer and Microsoft Office experience

· Multi-line phone experience

· Customer service experience

· Ability to manage detailed work with high degree of accuracy

· Excellent people skills

· Experience in problem-solving

· Elevated level of organizational skills

· Excellent written and oral communication skills

· Professional office skills

· Ability to take independent action to make sound decisions

· Ability to multi-task

· Ability to be flexible and open-minded

· Ability to collaborate effectively with people at all levels

· Ability to maintain highest level of confidentiality and work with confidential material
