Summary
We are seeking a Full-Time Executive Assistant to join our team. Located in Milwaukee, WI, the Executive Assistant will report to the Chief of Staff - Marketing, and will handle all administrative and related duties supporting the Chief Marketing Officer to ensure the effective and efficient operation of the Marketing function and its successful, high-level performance.
The ideal candidate is highly proactive and a strong communicator, will possess business acumen, and will be familiar with a variety of organization concepts, practices and procedures. We're targeting someone who can connect dots and has a high attention to detail. They will be responsible for ensuring duties are completed accurately and delivered in a high quality and timely manner. This role will exercise a high level of confidentiality, tact and diplomacy to support the department/area with limited supervision.

- Performs a variety of office maintenance and administrative functions; manages schedules and business travel, maintains supplies, prepares invoices and monitors expenses/budgets, takes minutes, etc.
- Identifies efficiencies in processes and procedures. Has a proven process for capturing and tracking tasks and actions.
- Coordinates department meetings/town halls/committee meetings and events; prepares agenda, materials, etc.
- Prepares and provides information needed; prepares reports, collects and analyzes information, prepares presentations, etc.
- Monitors mailbox, composing communications to external and internal partners.
- Works on or may lead key CMO projects as needed.
- Assists in the employee experience by coordinating employee events, team communications, and onboarding/orientation to the department.
- May provide work direction to other administrative or temporary staff.
- Maintains strict confidentiality in handling materials and sensitive information.
- Five to seven years of administrative assistant experience, including support of a Senior Leader.
- Associate's degree or specialized training or equivalent experience; college degree preferred.
- Proficient in MS Office at advanced levels.
- High degree of organization and planning skills.
- Excellent written and verbal communication skills.
- Demonstrates organizational sophistication and an innate ability to develop relationships with key constituents and partners.
- Ability to apply good judgment in making independent decisions and coordinating information.
- Ability to handle and manage multiple priorities and adapt to rapidly changing needs and priorities.
