FLSA Status: Full-time, exempt (salary)

Pay Range: $65,000 -$75,000 (DOE)

Reports to: Director of Finance

Schedule: 40 hours per week

Location: Jenny Eller Donor Center

Job Summary

This position will be responsible for multiple areas of operational support for the Central California Blood Center. Responsibilities include but are not limited to, planning, directing, and controlling purchasing, ensuring the materials and supplies are procured in an efficient, economical, and timely manner, meeting the requirements of CCBC, directing the activities associated with the general maintenance, repair, and appearance of CCBC fleet and facilities and grounds. This position will serve as the safety officer for CCBC and will work in collaboration with department directors to ensure appropriate safety measures have been implemented to improve the safety and security of company personnel, property, and facilities.

Essential Job Duties

Procurement Duties

  • Responsible for the organization's day-to-day purchasing activities for all production and operational supplies for CCBC.
  • Work closely with Blood Centers of America (BCA) and manage BCA purchasing contracts.
  • Works with all department directors and managers to determine adequate supply needs and levels.
  • To develop and implement the department budget by analyzing and reviewing the financial data provided and controlling and authorizing expenditures.
  • Responsible for ensuring purchases stay within the budget. Works closely with the Director of Finance for all major equipment purchases for buildings, property, and operations.
  • Issue and manage purchase orders for materials, supplies, equipment, and services to ensure smooth operation.
  • Ensure proper document (signed Purchase Request Authorization) is received for all non-supply purchases and maintenance agreements.
  • Negotiate prices, terms, conditions, and contracts with vendors, and ensure all BCA contract prices are reflected in supplies and equipment.
  • Monitor supplier cost/quality and delivery performance and drive actions for improvement where necessary.
  • Act as liaison between suppliers and internal departments, and external parties.
  • Manage the maintenance of the warehouse, ensuring a safe and clean warehouse/work environment.
  • Manage the warehouse inventory control process ensuring all records are accurate and meet quality standards. Manage the physical inventory counts monthly as well as annually for audit. Manage the warehouse inventory control process for keeping accurate records and quality standards for reorders and audits, including managing the physical inventory counts.

Fleet Duties

  • Utilize GPS system to monitor drivers and track vehicles to ensure adherence to proper driving practices in case of theft or unauthorized use.
  • Oversee all facility contracts and manage facility and fleet vendor relationships.
  • Maintain inventory of keys (fixed sites and fleet).
  • Scheduling regular maintenance on all vehicles.
  • Maintain registration for all vehicles, working with the Accounting Department to ensure every vehicle is current.

Facility Duties

  • Manage and track preventive maintenance and repairs for facility and equipment, including HVAC, office cleaning, fire alarm and fire suppression systems, security alarm, etc.
  • Develop and implement a facility management program, including preventative maintenance and life-cycle requirements. Oversee the maintenance and functionality of all fixed donor facilities.
  • Prepare weekly maintenance schedules and allocate work with our maintenance department.
  • Ordering urgent or emergency repairs as needed.
  • Ensuring proper security measures for the CCBC facilities, including collaborating with property owners, landlords, or property management.
  • Oversee the maintenance department that performs regular facilities inspections of all CCBC sites.
  • Directing and prioritizing maintenance work orders.
  • Manage routine maintenance on facilities and ensuring repairs are satisfactorily completed.

Leadership Duties

  • Participates in required leadership meetings and training sessions.
  • Responsible for all supervisory functions for the inventory control clerk and maintenance positions.
  • Consistently demonstrate CCBC’s CARE values.
  • Ensure adherence to all quality standards, and Supply COPs/SOPs.

Safety Duties

  • Ensure all Safety Data Sheet binders are kept current and in compliance with OSHA requirements.
  • Develop, implement and maintain CCBC’s Workplace Violene Prevention Plan
  • Work with CCBC leadership to plan and execute safety drills for fire and other emergencies.
  • Schedule and conduct monthly safety committee meetings.

Requirements

Job Qualifications

  • 3 years minimum experience in a related position
  • High school diploma or equivalent required.
  • Bachelor’s Degree, preferred.
  • Must have a clean driving record.
  • Must be at least 21 years of age.
  • Valid driver’s license.

Typical Physical Demands

Must have a valid California Driver’s license and required California automobile insurance. Position requires regular vision and normal range of hearing. Employee must be able to lift 40 lbs. Must have manual dexterity sufficient to operate a computer keyboard. Position involves sitting approximately 70% of the time.

Physical Requirements

Medium work exerting up to 45 pounds of force occasionally and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
