About the Opportunity

Job Summary:
The Academic Assistant Tammy Rice for Student Services will assist in the Verification request i.e. Process general verifications, common app, third party request, national student clearinghouse, degree/enrollment verify functions for the Northeastern University global network. Reporting to the Associate Registrar for Student Services, the Academic Assistant serves as an operational and workflow contributor to their team and, as such, will also serve as a knowledge resource to their team by coordinating and completing designed task workflows that align to organizational goals to deliver core unit functions. The Academic Assistant will be expected to reference process documentation and maintain day-to-day resources needed to effectively manage their workload. The incumbent will follow a broader roadmap for their cohesive unit that aligns with the University Registrar’s operational processes, delivering high-quality, outcome-oriented, globally minded, ever-evolving and improving services that aim to maximize student, advisor, staff, and faculty satisfaction across the network. The Academic Assistant will inspire a culture that promotes agility, creativity, and the development of both industry-informed and cutting-edge ideas and practices. The incumbent will partner with fellow staff and broader team leadership across Operations, Solution Delivery & Strategic Reporting, and the Network and Student Services teams, the Provost Office administration, Academic Technologies, the college academic units, Chancellor’s Office, network supporting teams, among others. As a member of AACRAO, the Academic Assistant will continuously engage in the professional network to remain current on relevant topics, solutions, regulations, best practices, and cutting-edge opportunities.

Academic Assistant responsibilities include:

  • Follow operational workflows within their unit for overall learner success and an exceptional learner, advisor, and faculty experience in the areas of Student Services i.e. verification, transcripts throughout the global network.
  • Deliver outcomes for unit priorities, providing necessary assistance to team to achieve the goals identified by the unit Director.
  • Follow an operational plan to ensure accurate and timely execution of tasks required to maintain recurring unit activities and services. Unit responsibilities may include a broad range of activities such Verification request i.e. Process general verifications, common app, third party request, national student clearinghouse, online degree/enrollment verify tasks.
  • Contribute to a collaborative, meaningful, action-oriented, and overall productive partnership with Northeastern’s current and alumni community as well as various office across campuses, Office of Global Services, and advising teams.
  • Complete processes and tasks related to research and resolving verifications problems through Service Now platforms as well as transcripts.
  • Assist academic areas and Provost Office members, Chancellor’s Office, and network teams in the areas of Student Services processing and resolving student Registrar related issues and support the student experience. As part of this support, meet established timelines and objective such as keep track of verification forms that have been processes and deadlines of when forms are due.
  • Collaborate with supervisor on work related issues and processes regarding verification forms.
  • Assist with providing verification for Office of Student Conduct and Conflict Resolution, Services and Advising office, Scholarship Agency etc. Student Services i.e. enrollment, new programs, certificates, degrees, academic and records policies and procedures, and other related topics as they develop.
  • Participate and seek professional development opportunities through business critical organization-wide initiatives.
  • Contribute to registrar process improvement; participate in discussions regarding current and future trends in opportunities and challenges related to Student Services i.e. enrollment, new programs, certificates, degrees, academic and records policies and procedures, and other related topics as they develop.
  • Demonstrate good judgment in balancing priority tasks and recurring operational responsibilities.

Qualifications:

The ideal candidate will have many or all the following attributes and demonstrated abilities:

  • Bachelor’s degree is recommended.
  • Minimum 1-2 years of progressive experience in a medium to large research institution, preferably in the Registrar’s Office or closely related unit, and ideally with more than one campus location.
  • Demonstrated ability to complete operational recurring workflows for i.e. transcript and verification forms related processes to ensure successful outcomes producing verifications in a timely manner
  • Ability to reference and interpret set success metrics for to ensure task completion in alignment with the organization's processes, goals, and initiatives.
  • Experienced analytical and creative thinker, one who leverages relationships to get buy-in and support for solutions and enhancements, with a focus on root cause analysis and solutioning.
  • Must possess the ability to solve problems creatively and quickly, deescalate situations, maintain curiosity, and demonstrate empathy.
  • Experience working on teams to deliver cross-functional tasks.
  • Demonstrated proactive customer and student service orientation.
  • Familiarity with state and federal laws, such as Compliance/Criminal Offender Record Information (CORI) and Family Educational Rights and Privacy Act (FERPA); experience working in partnership with a general counsel’s office; experience with and knowledge of governmental and accrediting agencies.
  • Knowledge of operational and project best practices, systems, policies, and procedures in a fast-paced, complex, and dynamic setting, including strong analytical skill and data management.
  • Ability to effectively communicate established tasks, timelines, objective to cross-functional stakeholders the context of their work.

Job Duties:
50%

Follow operational workflows of the varied responsibilities within the areas of Student Services. Assist the team on adjusting task workflows using identified improvements in the delivery of set tasks and outcomes for students, faculty, and advisors. Use prescribed sets of data to verify the completion of tasks is performed in alignment with expected deliverables.


30%

Assist academic and administrative offices to ensure area processes and procedures to support stakeholder learner success, mission, and evolving network. Meet regularly with college and network teams, school/college administrators, advisors, Enrollment Management administrators, Student Financial Services, and others to support the ongoing and iterative nature of the work. Seek functional and service feedback from stakeholders in peer and supported units to constantly improve on objective criteria, and deliver on requested assistance with tangible outcomes and resolve.

20%
Assist Registrar’s Office teams, leadership, and internal partner units to deliver cross-functional workflows such as the importance of student services task collaborating with others on basic to medium level registrar information and function across all areas. Support the other unit’s work within the Registrar’s Office to find the best outcome, considering totality of the work and the student experience. Share resources and highlight best-practices as it related to individual and shared tasks across the team.
