Executive Administrative Assistant - to the Chief Recruiting Officer

Job Description:

The Administrative Assistant provides support for all recruiting efforts in the network office. This position involves performing functions that allow the leadership team to efficiently attract, recruit, select, and contract financial representatives. The assistant has an overall understanding of the recruitment & selection process. This position requires a high degree of organization, attention to detail and ability to communicate effectively with a wide range of individuals.

Duties may include, but are not limited to:

Administrative:

  • Support the daily activities of the chief recruiting officer
  • Maintain supply of all recruiting materials & kits
  • Maintain all job postings & distribute leads to the recruiters
  • Coordinate and execute any recruiting promotions/campaigns
  • Track recruiting activity & prepare reports as directed by the Chief Recruiting Officer (CRO)

Contract & Licensing:

  • Backup and assist Contracting and Licensing coordinator
  • Assist in the candidate’s completion of all contract & licensing paperwork
  • Schedule & track candidate’s licensing & registration requirements
  • Process all contract & licensing paperwork and follow through on all outstanding requirements through to contract approval
  • Stay up to date in knowledge of new procedures/requirements in regard to contract, licensing & registration
  • Coordinate details of office set up for new representatives (desk, phone, business cards, stationery, supplies, etc.)

Qualification Criteria:

  • Strong verbal and written communications skills
  • Proficiency with Microsoft Word and Excel required
  • Strong organizational and time management
  • Demonstrated ability to work professionally as a team member and with all levels of people required
