Our local office in New Hartford represents a local location of Northwestern Mutual where multiple financial advisor firms operate from.

Role Description

This is a full-time in-office role as an Executive Assistant to the Managing Director at Northwestern Mutual in New Hartford, NY. The Executive Assistant will have three primary functions which can be defined below. This individual will act as Director of First Impressions, will assist with onboarding new advisors and team members, and support the new advisors as their local sales execution team coordinator in operational support. This individual is a trusted and integral part of the District team.

General Responsibilities:

  • Greet visitors and direct them appropriately
  • Answer, screen and record telephone calls
  • Maintain telephone system and agency directory
  • Process incoming and outgoing mail; deliver outgoing mail to Post Office
  • Maintain the reception area
  • Maintain inventory and order office supplies as needed
  • Answer basic policy owner/policy benefit questions

Contracting & Licensing Responsibilities:

  • Using Home Office systems, administer, input, track and follow-up on requirements and appropriate paperwork for contracting, licensing or registration of personnel. This includes new personnel, changes to existing personnel or termination of personnel.
  • Work closely with District leadership team on communication of candidate progress and follow up as needed
  • Provides information on the technical requirements of the contracting, licensing, and registration process to appropriate personnel.
  • As appropriate, facilitate and track requirements of non-resident licensing requirements.

Sales Execution Member Responsibilities:

  • Conduct weekly one-on-one meetings with all Financial Representatives supported
  • Manage underwriting process which includes providing, or collaborating with others to provide:
  • Assist with the application process
  • Scheduling requirements and medical exams
  • Monitoring of the Daily Status Report (DSR) and act on cases needing attention

Results:

  • Successfully navigating the contract and licensing process with new members of the Cooley District Office
  • Effectivity acting as local representation of 055 Sales and Execution team by assisting all under five-year advisors in new business support
  • Effectivity builds relationships with all office team members and those incoming
  • Continues to grow and develop their role in within the District by creating and executing their professional and personal development plan

Qualifications

  • Bachelor’s degree and/or equivalent work experience preferred
  • Strong analytical, problem solving, written and verbal communication skills, with the ability to work well with others
  • Strong attention to detail, accuracy, and reliability with the ability to thrive in a fast-paced environment
  • Committed to professional development (e.g. licensing, registration, designations)
