Summary

The IG Matter Mobility Specialist is responsible for producing a variety of work product related to matter mobility. Work product includes, but is not limited to, matter mobility (on-boarding and off-boarding attorneys / clients), information security, ethical walls and legal holds. The Specialist must be able to work effectively with a variety of law firm members, including numerous lawyers, paralegals, and staff members. In all situations, it is expected that the Specialist will maintain the highest levels of respect, confidentiality and professionalism in the execution of the responsibilities.

This position reports to the IG Matter Mobility Supervisor.

Required Education & Experience

  • College Degree or equivalent work experience.
  • 3-4 years law firm or records management experience.
  • Strong computer skills required.
  • Have the ability to be discreet, maintain confidential information, and use sound judgment.

Preferred Education & Experience

  • Law Firm experience preferred.

Essential Functions

  • IG Matter Mobility Specialist (90%)
    • Maintains a through working and training knowledge of the technology systems used by IG and their functionality.
    • Describe procedures and standards to others; interprets instructions; maintains documentation of procedures.
    • Develops and maintains great working relationships with attorneys, both on-boarding and off-boarding to aid in their transition to / from the firm.
    • Serve as the primary contact for the receiving or prior law firm and/or attorney or client regarding status, questions and encryptions/passwords for client transfer data.
    • Develops and maintains great working relationships with the Recruiting team members.
    • Coordinates and fulfills client requests related to their file management.
    • Track and maintain records of client authorizations required for the transfer of records.
    • Transfer electronic data using secure methods which includes identifying, organizing and exports client /matter information from the document manage system, email files, files on shared drives and potentially litigation support databases.
    • Work with Information Services and Risk teams as related to external data, making sure hardware and software meet firm security protocol. The initial task associated with this responsibility must be accomplished offline and in the Stinson KCM office on approved hardware.
    • Coordinates the implementation of appropriate security for information relating to ethical walls and legal holds within IG systems.
  • General and Administrative (10%)
    • Review mailboxes of departed users for client information.
    • Performs other duties as assigned.
